24/7 AI Support Without the Night Shift: FAQ Automation for Your Business

How to automate repetitive support questions with n8n and a retrieval-grounded assistant, and focus your time on the requests that actually need you.

Short answer: An AI FAQ assistant answers repetitive support questions automatically using RAG: it searches your knowledge base for the most relevant entries, then has a model write a reply based only on those sources. When nothing matches well enough it escalates to a human instead of guessing. It handles the predictable share of your inbox, around the clock.

Opening hours. Pricing. How long does delivery take? What happens after I submit my request? For your customers, these are important questions. For you, they’re the same four sentences you’ve typed for the twentieth time this week.

A full support inbox isn’t an anomaly. It’s a pattern, and patterns can be automated.

The problem with repetitive questions

Answering support requests manually creates a dilemma: fast responses require time that’s needed elsewhere, but slow responses frustrate customers, even when the answer is simple.

The frustrating part: most of these questions are predictable. Before you build anything, tag a fortnight of your own inbox by topic and you will see the shape of it: a handful of questions covering most of the volume, and a long tail that genuinely needs you. That count is also the business case, and it is yours rather than a number from someone else’s support desk.

That’s exactly where the FAQ Assistant comes in. It’s part of my communication automation work, and you can try it live in the demo below or on the live demos page.

What is RAG, and why does it matter?

The FAQ Assistant is built on a technique called RAG: Retrieval-Augmented Generation. In three sentences:

Instead of programming all knowledge into an AI model directly, you give it a searchable knowledge base. When a question comes in, the AI first searches for the most relevant entries, and then replies based on those sources. The result is more accurate and stays up to date, because you only maintain the knowledge base, not the model.

Think of the difference between an employee who memorises everything and one who looks things up carefully, the second is often more reliable.

How the workflow works

The process runs in four steps:

How the search works is a decision worth understanding, because it is the part people assume. The textbook approach is embeddings: every question and every knowledge entry becomes a numeric vector, similar meanings produce similar numbers, and the system can tell that “When are you open?” and “Weekend opening hours?” are the same question. That is what the downloadable workflow does, and it is the right default for a large or multilingual corpus.

The assistant running on this site does something simpler: Postgres full-text search over the same entries, with no embedding call at all. On a knowledge base of this size it returns the same passages, costs nothing per question, and removes one API dependency from the answer path. Both are RAG. The grounding comes from the model only seeing what the search returned, not from vectors specifically.

Start with full-text search. Move to embeddings when you can show it is missing questions, which is a thing you can measure rather than assume.

Safety through confidence scoring

Not every question is clear-cut. What happens when the AI is uncertain?

For each reply, the assistant scores how well the retrieved knowledge entries match the incoming question. If nothing clears the bar, the request isn’t answered automatically: it’s escalated: to a human, a ticketing system, or a defined fallback address.

The case that decides whether an assistant is trustworthy is the question your corpus cannot answer. Handled badly it produces an empty response, or worse, a confident invention. In this build the search returning nothing is a real branch: the model is handed no context, and it says so and points at a human. That path is worth testing first, before the happy one. Ask it something you know is not in the knowledge base and watch what comes back.

What this means in practice

The saving is your own count times your own handling time. Twenty-five repetitive enquiries a week at five minutes each is roughly two hours a week, or around a hundred hours a year, on questions whose answers have not changed in months. Run that sum on the tally you took above rather than on my example.

The part that does not show up in a table: out of hours. A question answered at 11pm on a Sunday is not a time saving, it is a reply the customer would otherwise have waited two days for.

GDPR: what happens to the data

Support requests can contain sensitive information. Transparency isn’t optional here:

  • Where the knowledge base sits: on the demo instance it is a Postgres database on my own hardware in Germany. In a build for you it sits wherever you decide, and Postgres means you can take it with you.
  • Where the question goes: to whichever model the workflow calls. The demo on this page sends it to Kimi (Moonshot); the downloadable workflow is wired to Claude (Anthropic); a self-hosted model sends it nowhere. If the questions your customers ask are sensitive, that choice is the whole GDPR conversation, so make it before you build, not after.
  • Retention is a setting: n8n keeps execution data until you tell it not to, so configure pruning rather than assuming a question disappears once the reply is sent.
  • Contracts: whichever provider you pick, get the data processing agreement, and read what they say about training on your inputs. Do not take a blog post’s word for it, including this one.
  • Full control over the knowledge base: you maintain what the assistant knows. No black-box behaviour: you see every entry and can change or remove it at any time.

What you can customise

The FAQ Assistant is not an off-the-shelf product, it adapts to your operation:

  • Your own knowledge base: whether it’s an FAQ document, a Notion page, or existing help text, the ingestion workflow handles all common formats.
  • Channel choice: integrate into a chat widget on your website, an email inbox, or Slack, wherever your customers write to you.
  • Escalation routing: low-confidence requests land directly in your ticketing system (Freshdesk, Linear, Jira, whatever you use).
  • Tone and style: a short prompt document is enough for the AI to match how you write.

These are the portable versions: they embed the question and do a vector search, so they run on a standard Supabase setup with your own keys. As described above, my instance answers with full-text search instead, and the technical teardown covers both. After importing and setting up the database, expect an hour or two before the first grounded answer.
